Event QR Code: from ticketing to post-event feedback

Conference, concert, trade show, wedding: QR codes simplify every step of your event, from registration to collecting feedback.

5 QR code uses in event management

🎟️ Ticketing

Direct link to your purchase or reservation page (Eventbrite, Eventworld, form...).

📋 Program

Full program viewable on mobile. Editable if a speaker cancels.

📍 Access & map

Google Maps directions, floor plan, parking instructions — all in one scan.

📸 Photo gallery

After the event, share participant photos via a Google Photos album or similar.

⭐ Feedback

Google Forms or Typeform satisfaction survey — scan on exit.

📡 Guest WiFi

WiFi connection for participants (see WiFi QR guide).

Why use a dynamic QR code for an event?

A static QR code directly encodes the URL. If the URL changes (venue change, platform change), the QR code printed on your posters is unusable.

A dynamic QR code (PxlQR) points to a shortlink. You can change the target destination at any time from your dashboard — without changing the QR code. Your 500 posters remain valid even if everything changes on the destination side.

Change the link at D-1

Updated program, new live stream link, last-minute room change.

Real-time analytics

Track the number of scans per hour to measure turnout and adjust communication.

Reuse for the next edition

Same QR code, new URL — continuity on your permanent printed materials.

Post-event redirection

After the event, redirect the QR code to the photo gallery or feedback form.

Setting up QR codes for your event

  1. 1

    Identify your touchpoints

List where you want QR codes: poster, flyer, ticket, badge, banner, screens, registration table. Each point can have its own QR code to measure the effectiveness of each channel.

  2. 2

Create a dynamic QR code per use

In PxlQR, create a QR code for the program, one for ticketing, one for WiFi. Name them clearly. The target can be a temporary link — you will change it later.

  3. 3

    Customize with event colors

Colors, event logo, dot style. Export in SVG (vector) for large format posters, 1200px PNG for digital and standard printing.

  4. 4

    Integrate into your materials

Send the files to your printer or integrate into your Canva/Illustrator designs. Test each QR code before final approval — scan with multiple devices (iPhone + Android).

  5. 5

Track in real time on D-Day

From the PxlQR dashboard, watch scans live. Peak at opening? Slowdown at a session? Analytics give a precise reading of engagement.

  6. 6

    Post-event recycling

After the event, change the program QR code target URL to the photo gallery or feedback form. The QR codes on your materials continue to be useful.

The feedback QR code — best practice

Place the satisfaction form QR on each chair at the end of a session. Response rates are 3 to 5 times higher than post-event emails because the experience is still fresh.

Pre-event checklist

  • All QR codes tested on iPhone AND Android
  • Final destination URLs (no temporary links)
  • QR codes large enough on materials (min. 3×3 cm)
  • Good QR/background contrast (ideally black on white)
  • PxlQR dashboard open on mobile on D-Day for tracking
  • Plan B if Internet fails (WiFi QR code as backup)
